Explain whether the item will be machined, bent, welded, polished, or installed as delivered. Add straightness, wall, ends, cleanliness, or surface controls only where downstream work needs them.
Ask for evidence tied to the offer
List required examinations and records from the approved documents. Ask how identifiers connect the material to those records. A category page, old product title, or sample certificate cannot establish a current line or future shipment.
Record assumptions and exclusions beside the offered line. A quotation that repeats 304 seamless but omits edition, dimensional basis, heat-treatment condition, examination, or document scope still needs clarification. Ask for a revised line rather than relying on an informal message that receiving staff cannot audit later.
Define the receiving checks before shipment. The purchase record should say which markings, dimensions, surface features, ends, documents, and identifiers will be examined, who reviews them, and what happens when they disagree. This turns evidence language into an actionable acceptance plan.
Compare offers on the same grade, route, standard, dimensions, condition, tests, records, quantity, packing and destination. Send the controlled request to the prospective contracting party and require an item-specific written response listing offered fields, exclusions, assumptions and deviations.
